As the Ergo organisation scaled, a number of key operational challenges around Sales Management, Resourcing, Project Management & Billing were identified. These challenges centered around having the ability to combine data from multiple sources, some gaps from a business process perspective & access to a holistic view of operational activities. These challenges led to a number of cumbersome manual processes & unnecessary inefficiencies.
Solution
To address these challenges, the Ergo team implemented Microsoft Dynamics 365 Project Operations as a unified platform across our operational landscape. By integrating directly with our existing Dynamics 365 Sales implementation, the solution provided a consolidated view of sales pipelines & aligned them with resource planning activities & invoicing / billing processes.
Project Management
All Ergo Project Management activities were centralised within the Dynamics 365 Project Operations platform, consolidating all Project Management activities such as project timelines, team roles, project tasks & invoicing. This centralisation enhanced visibility & control enabled better coordination between departments, improved responsiveness through real-time updates & access to a Programme level view of all projects. As a result, projects stayed on track & within budget more consistently.
Project Resourcing
The platform’s powerful scheduling engine brought significant improvements to resource management, capacity planning & team projections. Team members were allocated more efficiently, minimising underutilisation & overbooking. By having access to real-time data, weekly resourcing calls became more streamlined & the team had the ability to proactively review, plan & adjust bookings based on customer & project demands.
Time Tracking
For time tracking, Ergo introduced the Ergo Team Member model driven app which streamlined & automated the timesheet entry process. This greatly improved the accuracy & timeliness of billable & non-billable hour capture, while also ensuring that time data seamlessly rolled up to project financials. The improved data integrity contributed to better decision-making & more accurate financial reporting.
Billing & Invoicing
