A more efficient and sustainable print management solution for Musgrave
The Challenge
Musgrave is Ireland’s leading retail, wholesale and foodservice business, employing 41,000 people throughout Ireland, Northern Ireland and Spain. Service reliability is paramount across all its different divisions and business functions, including print. Musgrave had challenges with device uptime and management, printer consumables, and visibility of printer service levels and associated cost drivers. The Group wanted to support 3,000 users in 38 locations with a proactive and transparent Managed Print Service (MPS) and chose Ergo to deliver it.
Ergo started by standardizing on a single hardware supplier, HP, and consolidating the number of devices from 350 to 205. Around 30 different models were used across the sites, in various combinations of MFDs (Multi-Function Devices with print, scan and photocopy capabilities) and single function models. A typical set-up could include a printer like the HP E65150 in the cash office, another in the manager’s office, with a larger A3 MFD, such as the HP LaserJet E77825, in the scanning and pricing office. Crucial to providing the visibility that Musgrave needed are software tools Ergo uses to manage the estate: OneStop for monitoring usage statistics, JetAdvantage for endpoint security, SafeCom for pull print, and an automated order process where an alert email triggers next-day delivery of consumables. Resilience and environmental sustainability are very important to Musgrave and all part of the Ergo service. Three servers were configured to run the Musgrave solution, ensuring users experienced a seamless service even if one went down. There is never any unwanted paper sitting in print trays, because SafeCom ensures jobs are only printed when the user swipes a card at the machine. If a job is not released, it will be automatically deleted from the print queue after a pre-determined period.
The Benefits
The big wins for Musgrave are customer satisfaction, savings, and efficiencies, much of it enabled by the management data that Ergo shares at monthly meetings. Print analysis identifies areas of high-volume output and excessive use of color, by site and device, giving Ergo and Musgrave the insights they need to make changes.
Ergo can extend the life and performance of a device in a busy location, for example, by swapping it out with a machine that has been printing low volumes. Wider trend analysis will look at service request fulfilment and incident fix rates. It is a level of operational governance around print that helps Musgrave grow a world class food and beverage business.
As part of Musgraves’ digitalization process, Musgrave and Ergo have replaced manual labor intensive paper processes with new digital solutions. Whilst saving money, more importantly, time has been freed up to focus on customer experience and satisfaction.
The engagement with Ergo has been a great success for Musgrave. Musgrave now has a partner who proactively manages their print fleet and it gives the business the visibility needed to drive continuous improvement, both in terms of value and performance.
