From the outset, AIB Life set out to build a modern, technology-first organization designed to meet the expectations of today\u2019s digital customers while complying with the rigorous regulatory standards of the Irish financial services sector.<\/p>\n<p><\/p>\n<p data-path-to-node=\"5\">To support this vision, AIB Life partnered with Ergo to design and deliver secure, scalable cloud-based solutions using the Microsoft Power Platform.<\/p>\n<h2 data-path-to-node=\"6\">The Challenge<\/h2>\n<p><\/p>\n<p data-path-to-node=\"7\">Launching a new life insurance company from the ground up presented AIB Life with both a rare opportunity and a complex challenge. the\u202f<\/span><b><span data-contrast=\"auto\">N-TUTORR programme<\/span><\/b><span data-contrast=\"auto\">\u00a0\u2013 a national initiative to transform learning, teaching, and assessment\u00a0across the\u00a0Technological\u00a0Higher\u00a0Education\u00a0Sector\u00a0\u2013\u00a0<\/span><b><span data-contrast=\"auto\">DkIT<\/span><\/b><span data-contrast=\"auto\">\u00a0sought to enhance the online support available to students 24\/7 via the Student Support Hub on the virtual learning environment.\u00a0\u00a0This hub complements and extends the in-person supports available to students.\u00a0\u00a0The goal of this project was to enhance responsiveness and interactivity by introducing an\u00a0AI-driven\u00a0chatbot to directly answer questions.\u00a0\u00a0Following initial scoping of the project,\u00a0it was decided\u00a0the chatbot project\u00a0would\u00a0focus on answering student queries\u00a0about academic integrity.\u00a0<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559740&quot;:252}\">\u00a0<\/span><\/p>\n<h2><b><span data-contrast=\"auto\">The<strong><i> solution<\/i><\/strong><\/span><\/b><span data-contrast=\"auto\">\u00a0were\u00a0identified\u00a0as the service provider, with\u00a0Ergo\u00a0and\u00a0Analytics Engines,\u00a0Ergo\u2019s\u00a0partner and a leading provider of AI and data-driven solutions,\u00a0supporting\u00a0this body of work.\u00a0<\/span><span data-contrast=\"auto\">With\u00a0DkIT\u00a0partners, the companies held weekly collaborative meetings to refine and clarify the requirements for\u00a0the\u00a0chatbot.\u00a0<\/span><span data-contrast=\"auto\">These regular meetings also\u00a0e<\/span><span data-contrast=\"auto\">nsured\u00a0steady progress\u00a0and\u00a0rapid feedback cycles<\/span><span data-contrast=\"auto\">.\u00a0Based on this collaborative process, a Statement of Work\u00a0was developed\u00a0outlining the design, implementation, and testing phases of the new solution.<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559740&quot;:252}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">The\u00a0chatbot\u00a0was built on Azure OpenAI services, Azure AI Search and Azure AI\u00a0<\/span><span data-contrast=\"auto\">Document Intelligence<\/span><span data-contrast=\"auto\">.\u00a0It enables students to ask natural-language questions and receive\u00a0accurate\u00a0answers drawn from\u00a0DkIT\u2019s\u00a0existing knowledge base\u00a0on academic integrity, including guides, policies, and support tools.\u00a0The Chatbot utilises semantic search technology to understand a broader range of student questions, minimising the need for manual management of question\/answer pairs.\u00a0<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559740&quot;:252}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">From a\u00a0DkIT\u00a0perspective, it was clear that Security, Data Protection\u00a0and Privacy were\u00a0paramount for this project. The new solution, which is positioned within the Institution\u2019s virtual learning environment (VLE),\u00a0is resistant to prompt injections and does not capture user details,\u00a0<\/span><span data-contrast=\"auto\">ensuring the highest standards of privacy and security<\/span><span data-contrast=\"auto\">.<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559740&quot;:252}\">\u00a0<\/span><\/p>\n<p><span data-contrast=\"auto\">In September 2024, the chatbot underwent user acceptance testing with\u00a0DkIT\u00a0staff and students. Following positive feedback and a smooth testing phase, the chatbot was successfully launched on the\u00a0DkIT\u00a0student\u00a0VLE\u00a0portal. Students reported that the chatbot was intuitive and easy to use.\u00a0<\/span><span data-ccp-props=\"{&quot;201341983&quot;:0,&quot;335559740&quot;:252}\">\u00a0<\/span><\/p>\n<p><i><span data-contrast=\"auto\">\u201cAs part of the National Technological University Transformation and Resilience project (N-TUTORR), Dundalk Institute of Technology was able to explore the development of an academic integrity chatbot to embed into our online student support hub on\u202four Virtual Learning Environment (VLE).Ergo, in collaboration with their partner Analytics Engines, worked with us to scope the project and developed an excellent solution by leveraging Microsoft\u2019s AI technology.\u202f The result is a reliable chatbot that\u00a0is able to\u00a0answer student queries about academic integrity in real time, 24\/7, with answers based on our own guidance and\u00a0resources.\u202fThis has helped to extend the functionality of the\u00a0virtual student\u00a0support hub and the academic\u00a0integrity\u00a0support available to students at all times.<\/span><\/i><span data-contrast=\"auto\">&#8220;<\/span><span data-contrast=\"auto\">\u202f<\/span><\/p>\n<p><strong>Dr\u202fMoira Maguire, Acting Head of School of Health &amp; Science at\u00a0DkIT\u00a0<\/strong><\/p>\n<p><span data-contrast=\"auto\">\u201c<\/span><i><span data-contrast=\"auto\">While working with the\u00a0Micromail,\u00a0Ergo\u00a0and Analytics Engines\u00a0team, we consistently valued their eye for detail, technical\u00a0expertise, and client-focused support. MySQL\u00a0<\/span><\/p>\n<h2>The <em><strong>challenge<\/strong><\/em><\/h2>\n<p>The issue the customer faced was multiple data centres: some belonged to them initially, and others were inherited from acquisitions and all were located in various geographies around the globe and often managed independently. This presented a decentralised management and administration overhead with multiple \u2018versions\u2019 of the same or similar purpose applications and a complex lack of integration and collaboration across the business.<\/p>\n<h2>The <em><strong>solution<\/strong><\/em><\/h2>\n<p>To integrate the various acquired entities, reduce the number of services and applications, and reduce the significant annual cost of data centre hosting, the customer enlisted Ergo to help exit the data centres, migrate the dispersed workloads and integrate the services on Microsoft\u2019s cloud platform. To consistently scale, deliver measurable outcomes, and reduce the risk inherent in M&amp;A-driven IT transformations, Ergo used its repeatable and proven migration and consolidation approach to cloud migrations, aligned with the Azure Well-Architected Framework.<\/p>\n<p>In 2024, Ergo began with a comprehensive discovery, assessment and design, to understand the workloads, their configurations and inter-dependencies, for every entity that was consuming data centre services.<\/p>\n<p>The discovery phase outputs included:<\/p>\n<ul>\n<li>Documenting of<strong> current architecture<\/strong> for each acquired organisation including any existing cloud services such as Microsoft Azure or AWS tenants and subscriptions.<\/li>\n<li>Designing an optimised <strong>Azure Landing Zone<\/strong>, ensuring alignment with Azure Well-Architected Framework principles.<\/li>\n<li>Providing <strong>costs breakdown<\/strong><\/li>\n<li>Designing the appropriate <strong>migration model<\/strong> for each entity&#8217;s workloads, aligned with Microsoft&#8217;s Cloud Adoption Framework.<\/li>\n<\/ul>\n<p>Ergo has effectively completed the migration and consolidation of the workloads, including rehosting and refactoring of <strong>Windows SQL environments.<\/strong><\/p>\n<p>As the customer operates a multi-cloud environment, Ergo deployed Azure Arc as a centralised management and governance solution for Azure and co-existing AWS workloads. Using Azure Arc enabled the implementation of consistent security protocols and policies across the organisation. It provides a unified management experience for the entire IT environment.<\/p>\n<h2>The <em><strong>benefits<\/strong><\/em><\/h2>\n<p>By consolidating its multiple, geographically dispersed data centers into Microsoft Azure, the customer achieved significant operational and strategic benefits. The migration eliminated redundant applications and decentralised management, streamlining IT operations and reducing costs and administrative overhead.<\/p>\n<p>The adoption of Azure and Azure Arc provided a unified management platform, enabling consistent security protocols and centralised governance across the customer\u2019s cloud seamlessly manages an organisations Sales, Resourcing, Project Management &amp; Invoicing \/ Billing business processes into a single cloud-based scalable platform. This powerful platform empowers organisations to win more deals, accelerate project delivery &amp; maximise utilization \/ profitability.<\/p>\n<p>Ergo adopted Dynamics 365 Project Operations to optimise its processes across the core business functions organisation wide. This case study explores the challenges Ergo faced, the solutions delivered through Dynamics 365 Project Operations &amp; the transformative impact that this platform had on internal operations at Ergo.<\/p>\n<h2>Challenge<\/h2>\n<p>As the Ergo organisation scaled, a number of key operational challenges around Sales Management, Resourcing, Project Management &amp; Billing were identified. These challenges centered around having the ability to combine data from multiple sources, some gaps from a business process perspective &amp; access to a holistic view of operational activities. These challenges led to a number of cumbersome manual processes &amp; unnecessary inefficiencies.<\/p>\n<h2>Solution<\/h2>\n<p>To address these challenges, the Ergo team implemented Microsoft Dynamics 365 Project Operations as a unified platform across our operational landscape. By integrating directly with our existing Dynamics 365 Sales implementation, the solution provided a consolidated view of sales pipelines &amp; aligned them with resource planning activities &amp; invoicing \/ billing processes.<\/p>\n<h2>Project Management<\/h2>\n<p>All Ergo Project Management activities were centralised within the Dynamics 365 Project Operations platform, consolidating all Project Management activities such as project timelines, team roles, project tasks &amp; invoicing. This centralisation enhanced visibility &amp; control enabled better coordination between departments, improved responsiveness through real-time updates &amp; access to a Programme level view of all projects. As a result, projects stayed on track &amp; within budget more consistently.<\/p>\n<h2>Project Resourcing<\/h2>\n<p>The platform&#8217;s powerful scheduling engine brought significant improvements to resource management, capacity planning &amp; team projections. Team members were allocated more efficiently, minimising underutilisation &amp; overbooking. By having access to real-time data, weekly resourcing calls became more streamlined &amp; the team had the ability to proactively review, plan &amp; adjust bookings based on customer &amp; project demands.<\/p>\n<h2>Time Tracking<\/h2>\n<p>For time tracking, Ergo introduced the Ergo Team Member model driven app which streamlined &amp; automated the timesheet entry process. This greatly improved the accuracy &amp; timeliness of billable &amp; non-billable hour capture, while also ensuring that time data seamlessly rolled up to project financials. The improved data integrity contributed to better decision-making &amp; more accurate financial reporting.<\/p>\n<h2>Billing &amp; Invoicing<\/h2>\n<p>In the area of billing &amp; invoicing, the integration of project data enabled the generation of timely &amp; accurate invoices. High-quality metadata ensures that content is easily searchable by both researchers and aggregators.<\/p>\n<p>The second goal of the AI application was to efficiently and precisely analyse and identify all elements of the publishing content provided by publishers, facilitating a seamless conversion into XML format. XML, or eXtensible Markup Language, is used in the publishing industry to create structured content using tags. It helps in seamlessly repurposing content across various platforms, including print media, ebooks, and websites. The implementation of the new app aimed to reduce review time and enhance accuracy.<\/p>\n<h2>The <strong><i>Solution<\/i><\/strong><\/h2>\n<p>Deanta partnered with Ergo, a Microsoft Cloud Solution Provider with deep expertise in cloud migration and deploying AI\/ML workloads on Azure. The company also highly valued Ergo\u2019s relationships with Microsoft and ability to navigate and utilise Microsoft\u2019s programmes available for customers.<\/p>\n<h3>Azure Landing Zone deployment<\/h3>\n<p>After the initial consultation, Ergo recommended deploying a Microsoft Azure Landing Zone, following Microsoft Cloud Adoption Framework best practices. Stakeholders across Deanta participated in in-depth solution architecture workshops to ensure alignment on requirements and design principles. Security and reliability were paramount for this project, which was assured by Ergo\u2019s implementation of measures such as role-based access control, MFA for privileged roles, separation between production and non-production workloads, as well as redundancy for business-critical workloads to guarantee availability in the event of a failure. At its core, the application harnesses GPT-4o&#8217;s vision analysis capabilities via Azure OpenAI, creating a foundation for comprehensive document understanding and metadata extraction.<\/p>\n<p>The implementation features an engineered prompt that maximises the model&#8217;s effectiveness in recognising and classifying document elements while understanding their contextual relationships. This approach enables the system to handle complex document structures with precision, automatically identifying and categorising diverse content types including mathematical equations, multilingual text, footnotes and code blocks.<\/p>\n<p>The application delivered results with over <strong>90% accuracy and precision<\/strong>, a substantial improvement over the previous 60% accuracy benchmark, and processing time of<strong>~20 seconds per document page.<\/strong><\/p>\n<p>This automated application transformed the document metadata identification and assignment process, dramatically reducing manual intervention while maintaining quality standards. To enhance their operational efficiency and improve their ability to manage and respond to reports of animal welfare issues, the ISPCA partnered with Ergo. ISPCA were considering Salesforce when Ergo stepped in and assisted the ISPCA in modernising their reporting processes through the integration of Microsoft Dynamics 365, facilitating a digital transformation that significantly improves the ISPCA&#8217;s capacity to fulfil their mission of preventing animal cruelty.<\/p>\n<h2>The <strong><i>Challenge<\/i><\/strong><\/h2>\n<p>The biggest challenge for the ISPCA was managing the high volume and complexity of calls and cases they received annually. Prior to Ergo&#8217;s proposed solution, the ISPCA handled between 10,000 to 15,000 animal welfare calls on their National Helpline each year, with approximately 3,000 of these calls being passed to their team of dedicated inspectors who enforce animal health and welfare laws across Ireland. The ISPCA needed to automate their existing system and improve the process of vehicle checks for their fleet, which was previously done manually, to further enhance efficiency.<\/p>\n<h2>The <strong><i>Solution<\/i><\/strong><\/h2>\n<p>The project started in 2023. Ergo dedicated considerable time and effort to thoroughly understand ISPCA\u2019s operations and business processes. During the initial discovery phase, Ergo collaborated closely with the ISPCA CEO, senior Inspector, and key stakeholders to gather all necessary requirements. The Ergo team, consisting of a Business Analyst (BA), Project Manager (PM), Solution Architect (SA), developers, and QA specialists, suggested an iterative approach and outlined a project plan within a DevOps framework, including test plans and processes.<\/p>\n<p>Phase 1 delivery featured two User Acceptance Testing (UAT) phases and additional change request gathering. Once ISPCA confirmed their satisfaction, Ergo provided an out-of-the-box (OOTB) migration, including data cleaning and transformation, from their legacy &#8220;ThankQ&#8221; on-premises system to a modern cloud-based solution.<\/p>\n<p>Ergo successfully delivered a tailored solution that transformed ISPCA\u2019s calls and case management systems within a customised Field Service application. This implementation once operational will benefit Inspectors involved in legal cases. With the new automated system, files and pictures can be autogenerated and prepared in real-time, ensuring more accurate data and evidence for legal teams.<\/p>\n<p>Speaking on the partnership and the new system, <strong>Conor Dowling, Chief Inspector of the ISPCA said:<\/strong><\/p>\n<p><em><strong>\u201cThe modernisation of our internal processes is having a huge impact on our ability to achieve our objective of preventing cruelty to animals. our new system allows for a more accurate and effective reporting mechanism that gives time back to our staff to carry out our core goals.<\/strong><\/em><\/p>\n<p><em><strong>\u201cWe are now able to manage and allocate our resources more efficiently, and we wish to thank Ergo for partnering with us on this exciting development.\u201d<\/strong><\/em><\/p>\n<p>By leveraging Dynamics 365 Field Service, the scheduling of vehicle checks for inspectors&#8217; fleets was significantly improved, enhancing overall efficiency and effectiveness. The solution extended Field Service capabilities to perform vehicle reviews, ensuring that each company vehicle received necessary servicing. This functionality was accessible on mobile devices, enabling inspectors to conduct and record checks seamlessly in the field.<\/p>\n<h2>Conclusion<\/h2>\n<p>As a result of Ergo&#8217;s innovative and tailored solution, the ISPCA will be able to significantly improve their operational efficiency, data accuracy, and resource allocation. The new system will enable the ISPCA to better manage and respond to the thousands of calls and cases they receive each year, as well as to automate and streamline their vehicle checks.<\/p>\n<p>By partnering with Ergo, the ISPCA has achieved a digital transformation that supports their mission of preventing animal cruelty and promoting animal welfare in Ireland. AIB entered into a joint venture agreement with Great-West Lifeco to provide a combined life and pensions offering to their customers. AIB is Ireland&#8217;s largest banking institution, and this new venture presented a great opportunity for a modern cloud-native technology offering.<\/p>\n<p>AIB life is a regulated entity delivering financial products to retail customers. Confidence that their workplace services would be highly resilient, and their data fully secured was a key requirement of a partner for these services. As part of its mission to help customers prepare for retirement, protect their loved ones and invest in a flexible way, AIB life strives to deliver high-quality service in support of financial advisors, by building two innovative applications that would streamline workflow processes and enhance case-handling capabilities.<\/p>\n<p><strong>1. Sales Compliance QA App<\/strong><br \/>\n<strong>2. Advice Support Unit App<\/strong><\/p>\n<p>&nbsp;<\/p>\n<h2>Sales Compliance QA App<\/h2>\n<h3>The <i><strong>Challenge<\/strong><\/i><\/h3>\n<p>AIB life conducts \u201cquality reviews\u201d as a core component of its internal control framework, ensuring that its sales processes comply with regulatory standards and customer expectations. However, with no solutions available in the market or out-of-the-box within core administration platform, the process for managing these reviews would be manual and time-consuming. AIB life needed a more efficient and reliable way to create, assign and track the quality checks for each case, as well as to generate reports and insights on the outcomes of the reviews.<\/p>\n<h3>The <i><strong>Solution<\/strong><\/i><\/h3>\n<p>Ergo collaborated with AIB life to develop an application that would provide a workflow and case management tool to enable these quality reviews. The solution was built using the Microsoft Power Platform, a low-code, rapid development tool that is highly agile and capable of meeting diverse business needs. The Sales Compliance QA App leveraged a model-driven app and Power Automate to create specific checks depending on the case type. Ergo also implemented an Azure dataflow to trigger cases from further upstream in the sales process into the app, stored in the AIB life Data platform.<\/p>\n<p>The app allowed administrators to design templates for reviewing the new business cases, with customised checks for various kinds of cases, ranging across product types and customer circumstances. These checks could include validating the investment strategy, the suitability of the product, or the documentation of the customer&#8217;s needs and preferences.<\/p>\n<p>The app also enabled users to add notes and commentary to the case under a timeline and assigned different levels of user access and approval based on a hierarchy of roles and user types. An outcome would be assigned to each case reviewed, and the case could be marked as completed with a full audit trail available. The app also provided scalability and user-centricity, allowing AIB life to self-generate new templates when they needed to apply new or additional checks that were not pre-configured at the time of building the app.<\/p>\n<h3>The <strong><i>Impact<\/i><\/strong><\/h3>\n<p>The app introduced efficiency and reliability in delivering fit for purpose quality reviews to support AIB life&#8217;s internal control framework and to protect the interests of customers. The Advice Support Unit was using manual processes that were inefficient, and difficult to operate. There was a lack of visibility, traceability, and automation, resulting in manual work, delays, and rework. AIB life needed a modern and scalable solution that would enable the Support Unit to manage and resolve complex cases more effectively and efficiently.<\/p>\n<h3>The <i><strong>Solution<\/strong><\/i><\/h3>\n<p>Ergo developed an application that provides a platform for managing and monitoring complex cases. The application consisted of two components: an app for the AIB life staff and an app for the AIB Advisors. The application was also built using the Microsoft Power Platform and integrated with the AIB life Data platform.<\/p>\n<p>The first component is an app for the AIB life staff, that enables the team\u2019s management to allocate cases and view the progress of all cases. The app also allows staff to record the quality and completeness of each case and request additional information if needed.<\/p>\n<p>The second component is an app that enables the AIB Advisor to check the status of their case review and communicate with the AIB life staff member in charge of their case through the system. The app also provides different users with the option to assign a prioritisation to the case. This is augmented with the capability to link cases together, so that the AIB life team can review the previous cases with the same references.<\/p>\n<h3>The <strong><i>Impact<\/i><\/strong><\/h3>\n<p>The application enables efficiency and transparency of the case document creation process for staff. It eliminates the need for using manual processes for handling the complexity involved in the process. Further, it provides a secure communication channel between the AIB life staff and AIB Advisors. It ensures that management has full visibility over all cases in the system and is an extremely powerful solution for delivering insights and enabling performance management.<\/p>\n<p><i>&#8220;Ergo has been an invaluable partner in our digital transformation journey.
