Overview of Role

Ergo is looking for a People & Culture Coordinator to join our team our growing workforce. The People & Culture Coordinator role will play an integral role in supporting the People & Culture team, and contribute across all the phases of the employee lifecycle, including onboarding & offboarding employee engagement, data integrity, reporting, HR processes, internal communications, compliance, performance management, etc.

The right person for this role is humble but confident, possesses smart people instincts and is adept at collaborating with others across the organisation with an aim to help us achieve our goal of making employees lives simpler yet productive.

Key Role Responsibilities

Onboarding & Offboarding

  • Responsible for the full onboarding process to ensure a positive and seamless onboarding experience for all new hires.
  • Coordinate and deliver our Employee Induction Programme.
  • Responsible for probationary review management on our HR information system (BambooHR) and organising staff exit surveys.

Employee Lifecycle Management

  • Manage employee lifecycle changes and maintain data integrity and timely reporting on our HR information system.
  • Update and maintain all employee profiles of the HR information system for all existing employees and new employees with relevant information.
  • Generate and present monthly HR reports and Organisation charts as required.
  • Main point for contact for general questions and request through the People & Culture inbox and ensure all queries are answered in a timely manner.
  • Support our employees through all life-cycle stages of benefits, processes, policies, leave, internal HR systems, and other people-led programs

Wellbeing and Engagement

  • Promote and manage the Ergo Wellbeing Programme, including monthly theme creation and benefits program administration.
  • Coordinate the ordering of staff gifts throughout the year (e.g., wedding presents, gift vouchers, Christmas hampers, new baby hampers).
  • Actively participate in Social Committees to foster social engagement, uphold Ergo Values, and assist with sustainability initiatives.

Administrative and Documentation

  • Manage credit card requests & Capex forms – liaise with Finance for payment purposes.
  • Creation of employment contracts and documentation for new and existing employees.
  • Monitor employee leave and notify payroll of necessary amendments.
  • Manage all staff requests regarding TaxSaver, Bike to work Scheme, and other employee benefits.
  • Assist with drafting and issuing relevant company communications of People Initiatives and policies.
  • Maintain and regularly update content on the Ergo People & Culture SharePoint site.
  • Responsible for annual updates to Health & Safety policies, including safety statements, audits and training.
  • Supports the People & Culture team as and when required and provide support with various tasks.

Recruitment and Interviews

  • Coordinate internal job advertisements and interviews.

Education, Qualifications and Skills

  • 1-2 years relevant experience required.
  • You are a skilled communicator – you proactively and positively communicate with your peers across the organisation to support and inform.
  • You are calm & poised under pressure.
  • You are not afraid to roll sleeves up and get involved in all aspects of the role, no matter how big or small.
  • You are resourceful – if you don’t know the answer, you’ll find it or better yet, craft it yourself and share it
  • You can context switch with ease and don’t shy away from the day-to-day “on the ground” work, or the more strategic work
  • You take a “customer service” focused approach to working with people
  • You are committed to your own professional development and demonstrate growth mindset

  • Ability to work effectively on various technical platforms, including HRIS, ATS, MS Office etc.
